Privacy Policy

Last updated: 18 July 2026

R&R Chartered Certified Accountants (“R&R”, “we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal data we collect, why we collect it, how we use it, and the rights you have over it, in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR).

1. Who we are

R&R Chartered Certified Accountants is the data controller for the personal data described in this policy.

Address: 74 St James Road, Blackburn, BB1 8ET
Phone: 01254 839543
Email: info@rraccountingsolutions.co.uk

We are regulated by the Association of Chartered Certified Accountants (ACCA). All client work is signed off by an ACCA-qualified accountant.

2. What personal data we collect

We collect personal data in a small number of specific ways:

  • Enquiry and contact form data. When you submit a form on this website (for example, to book a consultation or ask a question), we collect the information you provide — typically your name, email address, phone number, and the content of your message.
  • Newsletter sign-up data. If you choose to subscribe to email updates, we collect your name and email address for that purpose only.
  • Client data. If you become a client, we collect the financial, tax, and business information necessary to provide accountancy services, handled separately from this website under our client engagement terms and our professional obligations as an ACCA-regulated firm.
  • Technical and usage data. Like most websites, our hosting and security tools automatically log standard technical information (such as IP address, browser type, and pages visited) for security and performance purposes. Where analytics tools are enabled, they may collect anonymised or aggregated usage statistics.

We do not knowingly collect personal data from anyone under the age of 16 through this website.

3. How we use your data, and our legal basis

What we use it for Legal basis
Responding to your enquiry or consultation request Legitimate interest / steps taken at your request prior to entering a contract
Providing accountancy services to clients Performance of a contract; legal obligation (HMRC and ACCA record-keeping requirements)
Sending newsletters or marketing updates Consent — you can withdraw this at any time
Website security, fraud prevention, and performance monitoring Legitimate interest

We will never sell your personal data, and we do not use it for any purpose beyond what is described in this policy without asking you first.

4. Cookies

This website uses a limited number of cookies:

  • Strictly necessary / functional cookies — required for the website and its caching and security systems to work correctly.
  • Analytics cookies (where enabled) — help us understand, in aggregate, how visitors use the site, so we can improve it. These do not identify you personally.

You can control or delete cookies through your browser settings at any time. Blocking some cookies may affect how parts of the site function.

5. Who we share your data with

We use a small number of trusted third-party services to run this website and our practice. We only share the minimum data necessary with each:

  • Website hosting provider — to store and serve the website securely.
  • Email delivery and enquiry-form services — to make sure your enquiry reaches us and we can reply.
  • Email marketing platform — to send newsletters, only to those who have opted in.
  • Cloud accounting and practice software (Xero and related tools) — for existing clients only, to deliver accountancy services.
  • HMRC and other regulatory bodies — where we are legally required to report or file on a client’s behalf.

We do not share your data with third parties for their own marketing purposes.

6. How long we keep your data

Enquiry form submissions that do not result in a client relationship are retained for no longer than 12 months, after which they are deleted. Newsletter data is retained until you unsubscribe. Client financial and tax records are retained for the period required by HMRC and ACCA record-keeping rules — currently a minimum of 6 years from the end of the relevant tax or accounting period — after which they are securely destroyed.

7. Your rights

Under UK GDPR, you have the right to:

  • Ask us what personal data we hold about you, and request a copy of it
  • Ask us to correct inaccurate or incomplete data
  • Ask us to delete your data, where we are not legally required to keep it
  • Ask us to restrict or object to certain processing
  • Request that your data be provided to you, or another organisation, in a portable format
  • Withdraw consent at any time, where processing is based on consent (such as our newsletter)

To exercise any of these rights, contact us at info@rraccountingsolutions.co.uk. We will respond within one month.

If you are unhappy with how we have handled your data, you also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO), at ico.org.uk or by calling 0303 123 1113.

8. How we protect your data

We use industry-standard technical and organisational measures — including encrypted connections (HTTPS), secure hosting, and restricted access to client records — to protect your personal data against unauthorised access, loss, or misuse.

9. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or in the law. The “last updated” date at the top of this page will always show when it was last revised.
